MAINTENANCE SOFTWARE FOR MUNICIPALITIES
What is maintenance software for municipalities?
It is a centralized cloud platform that allows local authorities to record, coordinate, and resolve incidents on public roads digitally. Through a mobile app, workers document their activities in real time, connecting different municipal crews (public works, cleaning, gardening) with the technical office to maintain full control of public assets and improve citizen service.
THE PROBLEM
Take control of public roads and coordinate your municipal teams
Without a centralized platform, municipalities and local authorities operate reactively: incidents reported by citizens pile up in emails or on paper, the municipal asset inventory is scattered, and coordinating different crews becomes organizational chaos.
Our solution addresses these issues at the root. By digitizing management, technical managers can instantly view the status of public roads. Every action sent from a worker’s mobile phone is recorded in the system, providing complete traceability of who repaired what, where, and when. With this structured information, you move from improvised maintenance to full control, justifying budget use with real data.
FEATURES
Essential modules for managing city maintenance
Citizen incident and alert management
Turn neighborhood complaints into an organized workflow. The technical office can create an alert (for example, a pothole or a broken streetlight) and dispatch it directly to the corresponding crew’s mobile phone, ensuring flawless work order management for municipal crews and reducing response times.
Municipal inventory and public asset control
Load the city’s full asset catalog (buildings, street furniture, lighting) using dynamic option lists. The worker simply opens the list and selects the asset, assigning time and materials to the correct asset without errors.
Customizable work forms
Thanks to the editor, you can design a specific work report template for parks and gardens, and a completely different one for water sanitation, ensuring that the report always reaches municipal offices complete.
Time tracking for public staff
Unify field work with human resources. Municipal staff clock in and out from the app in compliance with the law, and also process their leave requests through the vacation manager.
MOBILE APP
Total mobility for street technicians and field workers (Mobile app)
Municipal work is carried out outdoors. Our application gives crews a fast tool that eliminates paper reports that end up getting lost in municipal vehicles.
Street furniture identification with scanner
The worker uses their smartphone camera to read QR codes or barcodes attached to waste bins or electrical panels. This ensures that the repair is recorded exactly against the correct public asset.
Photo evidence (before and after)
To justify work before municipal councils, technicians attach photographs directly to their report, visually documenting the repair of a sidewalk or the cleaning of an area and providing undeniable proof.
Georeferencing of interventions (GPS)
The system audits how long the intervention lasts. By granting location permission to the report, you certify the exact coordinates, proving that the crew was physically resolving the incident at the reported point.
Transparency, reports, and cost control for the local authority
All information collected in the field can be extracted via API or viewed through custom dashboards with itcons data. This allows council members to analyze average resolution times from when the citizen request is received until the order is closed, evaluating operational efficiency and facilitating the preparation of annual reports and budget justification.
DATA AND INTEGRATIONS
Roadmap: How to digitize your municipality in 5 steps?
1. Design a simple municipal work report using our guides.
2. Pilot the app with your most tech-savvy crew and teach them the mobile process.
3. Check that hours and photos are exported correctly to the office.
4. Evaluate real adoption and ease of use in the field.
5. Extend it to all municipal departments.
Taking advantage of Kit Digital and Kit Consulting grants to drive this process at no cost to public funds.
Frequently asked questions (FAQs) about our municipal software
Does the application work in areas of the municipality without coverage?
Yes, the mobile application is designed to work in basements of public buildings or remote districts. Workers can fill in data, take photos, and clock in offline. Everything will automatically sync when the connection is restored.
Can I manage the work of external subcontracted companies?
Absolutely. You can enable access with different roles for cleaning or gardening contractors so they can report their activity under the same quality and inventory standards as your internal staff, unifying everything in a single system.
Are the signatures collected in work records legally valid?
Yes. The system generates a PDF that embeds the digital signature, a timestamp (date and time), and the device’s technical data. This ensures that the inspection or repair record has full legal validity in response to neighborhood claims.
Is it possible to try the platform for free in our municipality?
Of course. Local authorities can create their own test site free of charge and with no commitment to design forms, upload a sample of street furniture, and test the mobile application in the field before making a decision.
