What Is a Work Report Template?

Since version 3.0 of the Itcons work report app, the web management interface has included an option called “Create Templates” where, as the name suggests, you can create the different work report templates your company needs. These templates are not fixed forms or limited to a few options: you can create any templates you need with all the data you require. In other words, they are 100% configurable. However, before creating a template, you should clarify a few things:

  • Who will fill out these work report templates: It could be the worker, site manager, installation or maintenance supervisor, etc. This decision is important because it determines how we will  structure the work report: for example, whether hours are allocated to the worker filling out the report on their smartphone or whether that person fills out reports for others.
  • Work report template structure: After deciding who will fill out the reports, consider what data you want to appear in your digital work report. You may currently use paper reports in a certain way, and your organization may decide to include more or less information in the new work reports or delivery notes. Therefore, before creating a new template, decide what data to collect: hours, materials, mileage, allowances, personnel, machinery, tasks… and where each item will go: the report header, rows, or footer. You can see all these fields when creating a work report template.
  • Data types: At this point,  you need to decide the data type for each field, whether text, numeric, a list of options, time… For calculated fields, decide which calculation to perform: addition, subtraction, multiplication… and what result you want from the data, whether a price, a calculation of hours, etc.
